Purpose of This Policy
ClinicBooking maintains healthcare provider profiles to help patients discover, compare, and contact healthcare providers through a trusted and transparent platform.
Because provider profiles may include business details, contact information, treatment information, pricing, media, patient inquiry tools, account access, administrator permissions, and other sensitive operational information, ClinicBooking requires proper verification before granting access, transferring ownership, or applying profile changes.
This Policy explains how ClinicBooking handles:
- Claim Profile Requests
- Provider profile ownership verification
- Listing correction requests
- Account access requests
- Profile update requests
- Conflicting or mismatched account information
- Suspended, closed, inactive, or disputed accounts
- Requests submitted by email, WhatsApp, phone, website form, or other informal channels
This Policy is incorporated into and forms part of ClinicBooking's Terms of Service, Privacy Policy, Provider Agreement, and any applicable provider onboarding or account terms.

If there is any conflict between this Policy and a separate written agreement signed by ClinicBooking, the signed agreement may control only to the extent of that conflict.
ClinicBooking Is Not a Medical Provider, Broker, or Ownership Certifier
ClinicBooking is a healthcare marketplace and technology platform. ClinicBooking is not a healthcare provider, medical practice, hospital, clinic, insurer, broker, regulator, licensing authority, or ownership registry.
ClinicBooking does not determine legal ownership of a clinic, hospital, medical practice, brand, trademark, phone number, website, or business entity. ClinicBooking only determines, for platform purposes, whether a person or organization has provided sufficient verification to access, claim, manage, correct, or update a ClinicBooking provider profile.
Approval or denial of a Claim Profile Request is an internal platform access decision. It is not a legal determination of business ownership, trademark ownership, corporate control, employment status, licensing status, or medical authority.
No Updates by Email, WhatsApp, Phone, or Informal Request Alone
ClinicBooking does not grant portal access, transfer profile ownership, or update sensitive provider profile information based only on:
- Email requests
- WhatsApp messages
- Phone calls
- Website contact forms
- Publicly visible business information
- Business logos
- Website screenshots
- Social media pages
- Email signatures
- A person's statement that they own, manage, or represent the provider
- A phone number appearing on a website or public listing
- A domain email address alone
- A third-party directory listing
- A claim that information is outdated, incorrect, fraudulent, or harmful
ClinicBooking may review such information, but we are not required to approve access or make changes unless the request satisfies our verification requirements.
Sensitive Provider Profile Information
For purposes of this Policy, “Sensitive Provider Profile Information” includes, but is not limited to:
- Provider, clinic, hospital, doctor, or agency name
- Business address
- Phone number
- WhatsApp number
- Email address
- Website URL
- Logo
- Photos, videos, or other media
- Doctor or staff information
- Treatment listings
- Pricing
- Currency
- Billing information
- Payout information
- Account administrator information
- Login or portal access information
- Patient inquiry routing settings
- E-consultation settings
- Profile ownership or administrator changes
- Any information that affects how patients contact, evaluate, or communicate with the provider
Sensitive Provider Profile Information must be updated through a verified provider account or another verification process approved by ClinicBooking in writing.
Claim Profile Request Requirement
ClinicBooking may require a Claim Profile Request before allowing any person or organization to access, manage, correct, or update an existing provider profile.
A Claim Profile Request may be required when:
- A provider cannot access its portal
- A clinic says a listing is outdated
- A provider wants to update address, phone, email, website, logo, pricing, currency, or treatment details
- A person requests account ownership transfer
- A clinic has relocated or changed its name
- The original account holder is unavailable
- The requester's information does not match existing account records
- Multiple people claim authority over the same profile
- The listing appears disputed, inactive, incomplete, or potentially inaccurate
Submitting a Claim Profile Request does not guarantee approval, access, ownership transfer, restoration, reactivation, or profile updates.
Information Required for Verification
ClinicBooking may request or review information including, but not limited to:
- Existing ClinicBooking profile URL
- Public profile name
- Legal business or provider name
- Requester's full name and job title
- Official work email
- Official phone number
- WhatsApp verification
- License, NPI, registration number, or equivalent where applicable
- Business registration
- Provider license
- Signed authorization letter
- Official website or domain match
- Corporate documents
- Proof connecting the requester to the provider
- Prior account records
- Historical account data
- Account activity logs
- Internal verification history
- Any other information ClinicBooking considers reasonably relevant
ClinicBooking may request additional verification at any time.
Verification Review Period
ClinicBooking typically aims to review a Claim Profile Request within 7 business days after receiving complete and sufficient information.
This timeframe is not guaranteed. Review may take longer if:
- Submitted information is incomplete
- Information does not match existing records
- Additional documents are required
- Multiple people claim the same profile
- Ownership or authorization is disputed
- The profile or account appears inactive, abandoned, compromised, or suspicious
- Fraud, security, privacy, or platform integrity concerns exist
- ClinicBooking requires additional internal review
ClinicBooking is not responsible for delays caused by incomplete information, inaccurate submissions, non-responsive requesters, unavailable account holders, conflicting records, or additional verification needs.
Review Against Existing Records
ClinicBooking may compare submitted information with information already associated with the provider profile or account, including:
- Registered account holder information
- Account email address
- WhatsApp verification records
- Phone verification records
- Clinic ownership or authorization information
- Prior submitted documents
- Historical profile data
- Account activity
- Internal security records
- Existing administrator details
- Public business information
- Domain or website information
- Other verification indicators
If submitted information does not sufficiently match existing records, ClinicBooking may decline, delay, restrict, suspend, or close the request.
No Access or Update Until Verification Is Sufficient
Until ClinicBooking determines that verification is sufficient, ClinicBooking may refuse to:
- Provide portal access
- Restore an account
- Reopen an account
- Transfer ownership
- Add or remove administrators
- Update profile information
- Change contact details
- Change pricing or currency
- Change logo or media
- Change address
- Change email or phone details
- Release private account information
- Confirm confidential account records
- Apply any requested correction
This protects provider profiles from unauthorized access, impersonation, account takeover, accidental changes, disputed ownership claims, fraudulent requests, and unauthorized control over healthcare provider information.
Public Business Information Is Not Sufficient by Itself
A clinic name, logo, address, phone number, website, email signature, online listing, or social media page may help ClinicBooking review a request. However, such information is not sufficient by itself to prove account ownership or authority to manage a provider profile.
This rule applies even if:
- The requester states that the clinic or business belongs to them
- The phone number appears on the clinic website
- The logo appears to belong to the clinic
- The address appears accurate
- The requester uses a clinic-related email address
- A prior phone number is outdated
- A prior address is outdated
- The requester claims the profile information is fraudulent
- The requester threatens legal, regulatory, fraud, or public complaint action
ClinicBooking must apply a consistent verification process before granting account access or making sensitive changes.
Phone Calls Do Not Override Verification
ClinicBooking may choose to contact a phone number as part of a review. However, calling, receiving a call from, or confirming a phone number is not sufficient by itself to override the verification process.
A phone call does not automatically prove:
- Legal ownership of a clinic
- Authority to manage a provider profile
- Authority to access patient inquiries
- Authority to update Sensitive Provider Profile Information
- Authority to receive portal access
- Authority to transfer ownership from a prior account holder
- Authority to act for a hospital, clinic, doctor, or agency
ClinicBooking may still require email, WhatsApp, document, domain, business, licensing, or other verification.
Email and WhatsApp Requests Are Not Sufficient by Themselves
ClinicBooking will not provide login credentials, reset ownership, transfer account control, reopen an account, or update Sensitive Provider Profile Information solely through email or WhatsApp correspondence.
This includes requests to update:
- Currency
- Pricing
- Address
- Phone number
- WhatsApp number
- Email address
- Website
- Logo
- Clinic name
- Doctor information
- Treatment information
- Account administrator details
- Profile ownership
Such changes must be completed through a verified provider account or through another verification process approved by ClinicBooking.
Mismatched or Inconsistent Information
ClinicBooking may deny, delay, suspend, or close a Claim Profile Request if information is mismatched, incomplete, inconsistent, suspicious, disputed, or insufficient.
Examples include:
- Requester email does not match the account email on file
- Requester WhatsApp or phone number does not match verification records
- Requester name does not match the registered account holder
- Requester cannot demonstrate authorization
- Clinic ownership details are unclear
- Account appears to have been created by another party
- Multiple parties claim the same profile
- Submitted information conflicts with prior records
- Public information conflicts with internal records
- Required documents are missing
- Verification cannot be completed within the required timeframe
ClinicBooking is not required to approve access or apply updates when verification records do not sufficiently match.
Failure to Complete Verification
If the registered account holder, requester, or authorized representative fails to complete required verification within the applicable timeframe, ClinicBooking may take one or more actions, including:
- Deny the Claim Profile Request
- Delay review
- Request additional information
- Restrict portal access
- Freeze profile changes
- Remove administrative access
- Suspend the account
- Permanently close the account
- Remove, archive, or de-index the profile
- Require a new verified provider account
- Require a new onboarding process
ClinicBooking may take these actions when verification is incomplete, inconsistent, disputed, stale, suspicious, or insufficient.
Account Suspension and Permanent Closure
ClinicBooking may suspend or permanently close a provider account if:
- Account ownership cannot be verified
- Required verification is not completed
- Submitted information does not match existing records
- The registered account holder does not validate required information
- Multiple conflicting ownership claims are received
- The account appears abandoned, inactive, compromised, unauthorized, or disputed
- The account presents a security, privacy, fraud, or platform integrity risk
- The account was created or managed by an unauthorized party
- Continued access may create risk to patients, providers, or ClinicBooking
Once an account is permanently closed, ClinicBooking is not required to:
- Restore the account
- Reopen the portal
- Transfer ownership
- Recover prior administrative access
- Preserve prior account settings
- Apply updates through the old account
- Continue any previous account relationship
- Provide access to historical portal data, except where required by law
New Verified Provider Account May Be Required
If an existing account is suspended, permanently closed, disputed, abandoned, or cannot be verified, ClinicBooking may require the provider to create a new verified provider account.
A new account must be created by an authorized representative using accurate, current, and accessible verification information.
ClinicBooking may require:
- Valid provider-controlled email
- Valid phone or WhatsApp number
- Business or clinic authorization details
- Website or domain verification
- Supporting documentation
- Provider identity or licensing information where applicable
- Agreement to ClinicBooking's applicable terms and policies
- Completion of onboarding and profile setup requirements
ClinicBooking may reject, delay, or restrict a new account if authorization or verification remains unclear.
Listing Corrections Without Account Access
ClinicBooking may, at its sole discretion, correct obvious public listing errors without granting account access.
Potential examples include:
- Typographical errors
- Duplicate listings
- Obvious outdated location labels
- Incorrect formatting
- Publicly verifiable address, website, or phone corrections
However, ClinicBooking is not required to make any correction unless it can reasonably verify the accuracy and authority of the requested change.
Even when ClinicBooking reviews a public correction request, the requester may still be required to complete a Claim Profile Request before changes are made.
No Duty to Maintain, Publish, or Continue a Provider Listing
ClinicBooking may create, display, update, suspend, remove, archive, de-index, restrict, or decline to publish any provider listing at its discretion, subject to applicable law.
ClinicBooking may remove or restrict a listing if:
- The profile is unverified
- The information is disputed
- Ownership cannot be confirmed
- The listing may mislead patients
- The listing presents a fraud, security, privacy, or quality risk
- A verified authorized provider requests removal
- A regulator, authority, or legal process requires review
- ClinicBooking determines the listing does not meet platform standards
ClinicBooking does not guarantee that any provider profile will remain published, ranked, searchable, visible, or available.
Provider Responsibility for Accurate Information
Providers are responsible for keeping their information accurate, current, complete, lawful, and not misleading.
This includes:
- Name
- Address
- Phone number
- Email address
- Website
- Logo
- Doctors and staff
- Services
- Pricing
- Currency
- Treatment details
- Availability
- Licensing or registration information
- Any other public-facing provider information
ClinicBooking may provide tools to update profile information, but providers remain responsible for the accuracy of information submitted or maintained through their accounts.
Currency, Pricing, and Treatment Information
Currency, pricing, treatment descriptions, and related commercial information must be accurate and managed through a verified provider account.
ClinicBooking is not responsible for disputes caused by outdated, inaccurate, incomplete, or provider-submitted pricing, currency, or treatment information.
ClinicBooking may refuse to update pricing or currency based only on email, WhatsApp, phone, or informal requests.
Access to Patient Inquiries
Portal access may include access to patient inquiries, messaging tools, booking information, e-consultation settings, or other sensitive workflow features.
For that reason, ClinicBooking will not grant portal access unless the requester satisfies verification requirements.
Unauthorized access to patient inquiries, provider communications, or account tools is strictly prohibited.
No Disclosure of Private Account Records
ClinicBooking may refuse to disclose private account records to a requester, including:
- Registered account holder identity
- Historical account email
- Prior WhatsApp or phone verification records
- Internal verification notes
- Security review details
- Account activity logs
- Internal fraud or risk flags
- Prior administrator details
- Patient inquiry records
- Any other confidential account information
ClinicBooking may disclose such records only when required by law, legal process, platform policy, verified account rights, or ClinicBooking's internal security process.
Account Records and Audit Trail
ClinicBooking may retain records related to:
- Provider account access
- Claim Profile Requests
- Verification reviews
- Account changes
- Profile changes
- Suspensions
- Closures
- Listing updates
- Ownership disputes
- Fraud, security, or abuse investigations
These records may be used to:
- Review disputes
- Prevent unauthorized access
- Support account security
- Investigate fraud or misuse
- Respond to legal or regulatory requests
- Maintain platform integrity
- Enforce ClinicBooking policies
ClinicBooking may retain such records for as long as reasonably necessary, subject to applicable law and the Privacy Policy.
Appeals and Re-Review
If a Claim Profile Request is denied, delayed, suspended, or closed, ClinicBooking may allow the requester to submit additional information.
ClinicBooking may require:
- New supporting documents
- Updated authorization proof
- Domain-based email verification
- Government or corporate registration documents
- Clinic ownership confirmation
- Official authorization letter
- Provider license or registration confirmation
- New provider account registration
ClinicBooking is not required to approve an appeal, reopen a closed account, or reverse a prior verification decision.
Fraud, Misuse, and False Claims
A person or organization must not submit false, misleading, incomplete, or unauthorized information to claim, access, update, or manage a provider profile.
Prohibited conduct includes:
- Claiming a profile without authority
- Impersonating a provider, clinic, employee, owner, or representative
- Submitting false verification details
- Using outdated contact information to obtain access
- Attempting to take over a profile by pressure, threats, or misleading statements
- Providing misleading documents, screenshots, or records
- Using another person's phone number, email, identity, or authority
- Attempting to access patient inquiries without authorization
- Attempting to bypass verification
ClinicBooking may suspend, close, reject, report, preserve records of, or take other action regarding suspicious requests.
Legal, Fraud, or Takedown Claims
If a requester alleges fraud, unauthorized use, infringement, defamation, unlawful listing, or other legal concern, ClinicBooking may require the requester to submit supporting documentation through the appropriate legal, support, or verification channel.
A legal or fraud allegation does not automatically entitle the requester to:
- Portal access
- Ownership transfer
- Account restoration
- Profile updates
- Profile removal
- Disclosure of private account records
- Immediate action without verification
ClinicBooking may preserve records, restrict access, remove or de-index a listing, request additional proof, or take no action depending on the information available and applicable law.
No Medical Emergency
Profile ownership disputes, listing corrections, currency changes, account access requests, and portal verification matters are not medical emergencies.
If a patient or provider has a medical emergency, they should contact local emergency services immediately.
No Medical Advice
ClinicBooking does not provide medical advice, diagnosis, treatment, prescriptions, or clinical care.
Provider profile verification, listing updates, and account access decisions are administrative platform matters and do not constitute medical advice, clinical judgment, credentialing, endorsement, or medical referral.
Platform Discretion
ClinicBooking reserves the right, in its sole discretion and subject to applicable law, to determine whether verification is sufficient to:
- Grant access
- Deny access
- Delay review
- Transfer ownership
- Require additional verification
- Update a listing
- Restrict a listing
- Remove a listing
- Suspend an account
- Permanently close an account
- Require a new account
- Refuse informal update requests
ClinicBooking may consider internal records, submitted information, public sources, third-party data, account history, risk signals, verification results, and any other relevant information.
Disclaimer of Warranties
Provider profiles, account tools, claim workflows, verification reviews, and listing update processes are provided on an “as is” and “as available” basis.
ClinicBooking does not warrant that:
- A Claim Profile Request will be approved
- A provider account will be restored
- Ownership will be transferred
- A listing will be updated
- A listing will remain published
- A review will be completed within a guaranteed timeframe
- Submitted information will be sufficient
- Public business information will be accepted as proof
- The platform will be uninterrupted, error-free, or always available
Limitation of Liability
To the maximum extent permitted by law, ClinicBooking, Spyface Tech Company, LLC, and their owners, officers, directors, employees, contractors, affiliates, agents, and service providers are not liable for any indirect, incidental, special, consequential, exemplary, punitive, reputational, business interruption, loss-of-profit, loss-of-opportunity, or similar damages arising out of or related to:
- Denial of portal access
- Delayed verification
- Refusal to update profile information
- Suspension or closure of an account
- Refusal to transfer ownership
- Removal, restriction, or de-indexing of a listing
- Inaccurate or outdated provider-submitted information
- Conflicting ownership claims
- Incomplete or mismatched verification records
- Unauthorized or attempted unauthorized access
- Provider failure to keep account information current
- Requester failure to complete verification
- Any action taken to protect platform security, provider security, patient trust, or listing integrity
Nothing in this Policy limits liability where such limitation is prohibited by applicable law.
Indemnification
To the maximum extent permitted by law, any person or organization submitting information to claim, access, update, remove, or manage a provider profile agrees to indemnify, defend, and hold harmless ClinicBooking, Spyface Tech Company, LLC, and their owners, officers, directors, employees, contractors, affiliates, agents, and service providers from and against any claims, damages, liabilities, losses, costs, and expenses, including reasonable attorneys' fees, arising from or related to:
- False or misleading claim information
- Unauthorized profile claims
- Ownership disputes
- Incorrect clinic or provider information submitted by the requester
- Misuse of account access
- Violation of this Policy
- Violation of applicable law
- Disputes between current and former owners, employees, contractors, agencies, marketers, representatives, or service providers
- Any request to modify, access, transfer, remove, or control a provider profile
Governing Law and Venue
Unless otherwise required by applicable law or a separate written agreement, this Policy is governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law principles.
Any dispute related to this Policy, provider account ownership, profile access, listing updates, Claim Profile Requests, or provider verification shall be handled under the governing law, venue, arbitration, and dispute resolution provisions in ClinicBooking's Terms of Service or applicable Provider Agreement.
Changes to This Policy
ClinicBooking may update this Policy from time to time by posting an updated version with a revised “Last Updated” date.
Continued use of ClinicBooking or continued submission of profile access, claim, correction, or update requests after changes are posted means the requester accepts the updated Policy.
