What this page covers

This page explains how telehealth interactions occur through ClinicBooking-enabled tools or links (video, audio, chat, asynchronous messaging) and what you consent to when you choose to engage a health care provider ("HCP") via distance technologies. It supplements our Privacy Policy, Terms of Service, and any provider-specific consent forms.

Marketplace only — no medical care from ClinicBooking

ClinicBooking is a global marketplace and communications platform. We do not practice medicine, provide clinical services, establish provider-patient relationships, or guarantee clinical outcomes. All medical advice, diagnosis, treatment, prescribing, follow-up, documentation, fees and scheduling are the sole responsibility of the independent HCP you choose.

Your consent to telehealth (patients)

By starting a telehealth session or sending clinical information to an HCP via ClinicBooking-enabled tools, you acknowledge and agree to the risks and limitations summarized below and any additional consent provided by your HCP.

Technology risks
What to know: Connectivity failures, poor audio/video, dropped calls, or delays may occur and could affect clinical decision-making.
Reschedule or convert to in-person
Use secure, private networks
Do not use public/unsafe networks for sensitive care
Diagnostic limits
What to know: Remote care can limit physical exam and ancillary testing and may affect accuracy; your HCP may require in-person evaluation.
Follow your HCP's direction for in-person exam, labs or imaging as needed
Privacy
What to know: Reasonable safeguards are used, but no system is 100% secure. Avoid conducting sessions in public or shared spaces.
Choose a private location, use headphones, lock screens; review our Privacy Policy for data handling
Licensure
What to know: HCPs generally must be licensed where you are located during the session. You must truthfully disclose your location.
Confirm your location
If cross-border, you may need in-person local care
Prescribing limits
What to know: Controlled substances or device prescriptions may be restricted by law or require in-person exams.
Your HCP will determine eligibility and compliance; prescriptions are not guaranteed
Alternatives
What to know: You may always pursue in-person care or choose another HCP.
You can withdraw consent to telehealth at any time before or during a visit

Provider obligations (HCPs)

HCPs using ClinicBooking-enabled tools agree they are solely responsible for compliance with all applicable laws, standards, and payor rules. At minimum:

Licensure & scope
Be duly licensed and practicing within scope in the patient's location at time of service; verify identity and location.
Informed consent
Obtain, record, and retain legally compliant telehealth consent (state/country-specific), including risks/alternatives.
Standards of care
Apply the same clinical standards as in-person care; arrange in-person follow-up or referral when indicated.
Privacy & security
Use reasonable safeguards; if using ClinicBooking services that involve PHI processing, comply with any applicable BAA.
Prescribing
Follow all e-prescribing and controlled-substance rules; do not rely on telehealth when a physical exam is legally required.
Minors
Obtain proper parental/guardian consent; use chaperones when required; follow age-specific telehealth laws.
Documentation
Maintain complete records, including consent, history, exam (as feasible), assessment, plan, and instructions.

Technology & privacy notice

  • Vendors & routing. Video, voice, and messaging may be provided by third-party processors (e.g., video APIs, cloud hosting, SMS gateways). Basic technical metadata (timestamps, IP, device) may be logged for reliability, security, and support.
  • HIPAA/PHI boundary. ClinicBooking is primarily a marketplace. If and when we act as a business associate to an HCP for specific services, our HIPAA BAA governs those services; otherwise ClinicBooking is not a covered entity for your provider's practice.
  • Recording. Sessions are not recorded by ClinicBooking unless both parties and applicable law permit and you see a clear on-screen indicator. Your HCP may have separate policies—ask before proceeding.
  • Cross-border transfers. Telehealth may involve cross-border data flows. See our Privacy Policy and Data Processing Addendum for transfer safeguards.

Records & PHI boundaries

  • Medical record of note. Your HCP creates and maintains your clinical record. ClinicBooking is not the custodian of your designated medical record set.
  • Access & corrections. Exercise access/correction rights directly with your HCP (and per applicable privacy laws). For platform account data, see our Privacy Policy.
  • Retention. Providers determine clinical retention schedules; ClinicBooking retains platform logs per our retention schedule for security, support, and legal compliance.

Billing, insurance & disclosures

  • Fees. ClinicBooking does not set HCP fees or guarantee insurance coverage. Confirm pricing, copays, and any Good Faith Estimate (where applicable under the U.S. No Surprises Act) with your HCP.

Emergencies & limits

Not for emergencies. If you are experiencing a medical emergency or believe you are at risk of harm, call 911 (U.S.) or your local emergency number immediately. Telehealth via ClinicBooking is not a substitute for emergency or urgent in-person care.

Informed consent text (summary)

Before or at your first telehealth session, you may be shown a consent box or form. A typical summary includes your agreement that:

  • You understand the nature of telehealth, its risks and alternatives, and you consent to receive care via telehealth from the HCP you selected.
  • You will truthfully disclose your identity and real-time location.
  • You understand technology limitations and that in-person evaluation may be required.
  • You understand privacy/security risks and will take reasonable steps to protect your privacy during sessions.
  • You may withdraw consent at any time before or during a session (which may end the session or delay care).

This summary is informational. Your HCP's consent form controls.

Minors & guardians

Telehealth for individuals under the age of majority requires compliance with local law and your HCP's policy, including verified parental/guardian consent, identity verification, and chaperones where required.

Cross-border care & sanctions

  • Jurisdiction. If you are outside the HCP's licensing region, care may be limited or unavailable.
  • Sanctions/export. ClinicBooking does not provide services to, or for the benefit of, sanctioned parties. Access may be restricted by law.

Complaints & disputes

  • Clinical concerns. Contact your HCP directly. You may also contact the HCP's licensing board in your jurisdiction.
  • Platform concerns. Contact ClinicBooking Support at care@clinicbooking.com.
  • Disputes with ClinicBooking. Governed by our Terms of Service (including arbitration/venue provisions).

Changes to this notice

We may update this notice to reflect legal, technical, or operational changes. Material updates will be indicated by the "Last Modified" date at the top.
